For plywood importers, a competitive quotation starts with a clearly defined product. Two panels with the same dimensions can have different core constructions, surface grades and finishing requirements. Before comparing prices or placing a container order, confirm exactly what your customers need and record those requirements in a shared specification.

1. Start with the application

Describe how the panel will be used and whether its surface will remain visible, be painted or receive a decorative finish. A furniture panel and a concrete formwork panel should not be selected only by thickness and price.

2. Confirm the core construction

Ask for the face and back species as well as the internal core composition. A birch face does not, by itself, describe every layer inside the panel. If your order requires full birch construction, write that requirement explicitly.

Ask the supplier to identify the proposed construction, including any repaired or jointed core material, and provide a representative edge photograph or sample. Compare the offered construction with your agreed specification before approving production.

3. Agree on face and back grades

Specify both sides of the board. HETOWOOD's birch plywood materials include grade descriptions such as B/BB, BB/BB and BB/CP. Ask for the grading reference used in the quotation and agree on acceptable patches, knots, colour variation and repairs.

Where appearance matters, approve representative samples rather than relying on a grade abbreviation alone. Also confirm whether one or both surfaces must be sanded and whether the board will receive an additional coating or overlay.

4. Put dimensions and bonding requirements in writing

Record panel length, width, nominal thickness and the tolerances you require. Include any special cutting or finishing instructions in the enquiry so that quotations cover the same work.

State the intended service conditions and request documentation relevant to the proposed panel. Ask the supplier to explain the bonding specification and any test results offered. If your purchase requires a particular certification or performance classification, confirm its applicability to the actual product and supplying factory before ordering.

For film faced plywood, also agree on film colour, surface finish and edge treatment. Avoid making a purchasing decision from a claimed reuse count alone; ask what conditions and handling assumptions support that figure.

5. Define packaging and inspection requirements

Request the proposed number of sheets per pack, pack dimensions, protective wrapping, strapping and shipping marks. Make sure the pack labels identify the product and specification your receiving team expects.

Before shipment, agree on the inspection scope and the records to be supplied. These may include panel measurements, surface and edge photographs, packing photographs and loading photographs. If you need an independent inspection, discuss the arrangements before production and loading schedules are finalised.

6. Send a complete quotation request

To help suppliers prepare a comparable offer, include:

• Product type and intended application.
• Face/back grade and required core construction.
• Panel dimensions, thickness and tolerances.
• Bonding, surface finish and documentation requirements.
• Quantity by specification and preferred packaging.
• Destination port, requested trade term and delivery window.
• Sample approval and inspection requirements.

Confirm the production location, shipment details and commercial terms in the final quotation. These should be agreed for the specific order rather than assumed from a general product description.
